Document Retrieval Software

We are a small foundation - six staff/PCs. Trying to find a cost effective system for storing docs (various formats plus scanned PDFs) which can be reliably retrieved using small bits of data. Our current practice of saving them to server with a 'sensible' title is not working as records grow.
Some of the commercial options available are expensive to buy, plus hefty monthly fee.

Would be interested to hear more and particularly why saving to server with "sensible names" is not working?
There are a number of options to store documents both internally using some form of intrane (here at Lasa we have used sharepoint to set up an intranet for staff) or using online options, take a look at the knowledgebase article Web Office Tools - http://www.ictknowledgebase.org.uk/virtualoffice
