The five types you will encounter are (note that registration may be required before you can use the software):

Open Source Software: will be provided under the http://www.gnu.org/ (in this case, 'Free' is closer to 'free speech' rather than 'free goods'!). Open source is normally associated with GNU/Linux, BSD, Solaris, Mac OS X. But there now plenty of Open Source software for Microsoft Windows. Though you may be able to get help at forums, you may need to pay for expertise if you don't have it.
Free 'Lite' Versions of Commercial Software: These are normally limited functionality in some way: (you can't import, print, export, …). Alternative, all the functionality will be there, but you would be limited to the number of records you can deal with. Support may not be provided or may be limited.
Personal Editions: These are provided free for personal use but not for commercial use.
Trial Versions: OK, it's not 'free' but the trial period will help you decide if its worth paying for without spending a penny/dime. Depending on the providers marketing strategy, you will normally get one month's free trial.
Shareware: You get to try the software and then pay for additional functionality or to use the software after it stops working following the trial period
Freeware: Free to use and while you can't expect any regular (if any) upgrades, some software is more up-to-date than other fully paid for software!

The FSF advocates for free software ideals as outlined in the Free Software Definition, works for adoption of free software and free media formats, and organizes activist campaigns against threats to user freedom like Windows 7, Apple's iPhone and OS X, DRM on ebooks and movies, and software patents.
We promote completely free software distributions of GNU/Linux, and advocate that users of the GNU/Linux operating system switch to a distribution which respects their freedom.
We drive development of the GNU operating system and maintain a list of high-priority free software projects to promote replacements for common proprietary applications.
We build and update resources useful for the free software community like the Free Software and Hardware Directories, and the free software jobs board. We also provide licenses for free software developers to share their code, including the GNU General Public License.
A strong free software movement focused on the principled issues of software freedom — and a strong FSF in particular — will determine what freedoms the next generation of computer users enjoy. At stake is no less than the next generation's autonomy.

This “new” company has refused to provide my client with support for their proprietary software unless he basically buys a whole new system over again which I think is scandalous.
Surely there must be a way round this situation because they are the only people who can provide my client with support and they are continuing to sell the same software but just because they bought out the company from themselves they are blackmailing their clients.
Is there a way to get round this?

I am not sure about the legalities in terms of registering your online raffles. I did come across this site http://raffle.it/charity which offers online raffles (for a 20% commission) aimed at charities in the UK.

Also a couple of other providers highlighted here - http://www.wildapricot.com/blogs/newsblog/archive/2009/12/04/easy-online-raffles-for-uk-nonprofits.aspx

I hope this helps and would be interested to know how you get on and what experiences other organisations have of this.

I think you are right that usb sticks are not the only concerns and as you say there are plenty of alternatives.

As mentioned previously Lasa has produced a free ICT security guide. Aimed at voluntary sector staff with responsibility for managing and securing ICT systems, the Security Guide - http://www.lasa.org.uk/uploads/publications/ictpublications/computanews_guides/security_guide.pdf (2MB PDF) is a valuable tool.

Paul

Did you manage to complete your policy document. We've recently carried out an internal review of our stick usage and found the following uses:

1. Transfer of data between two work PCs
2. Transfer of data between work and home computer
3. Backup
4. PowerPoint presentations taken to third party company

The first three can be solved by a policy defining alternative methods and we'll then enforce the policy by locking down our USB ports with appropriate hardware or software solutions. The last one is really hard to solve 'cos a lot of third party companies use laptops which aren't connected to the web or network because the company doesn't want a laptop which has loads of virus infected memory sticks stuck in it connected to their corporate network, so we can't use download sites or FTP to get the PPT from our network to their laptop.

The overall problem with the data security part of the USB stick issue is that if we prevent the users stealing the data using sticks there are plenty of alternatives, the principle being the trusty DVD burner.

Anyone got suggestions on sticks and the other issues raised by stick usage?

As a entrepreneur running your own company this is a very interesting and touchy topic... I for one love what social media is able to do and the knowledge and connections that it gives which is why I was allowing my employees to access all web 2.0 sites at one stage... In saying that, it was meant to be only on breaks, something that several employees never understood. They were browsing whilst on the phone or continually having facebook in the background as a distraction.

Eventually I had to ban these sites... I felt bad for the employees who werent misusing it but unfortunately the reality is that a handful of people often destroys for the majority.

This year's Circuit Rider Conference will take place on Tuesday 28 and Wednesday 29 September at the Garden Museum in Lambeth Palace Road, London, SE1. Tuesday will be a full day and Wednesday will be a half day to allow people to travel home. We'll be announcing more in the next few weeks but in the meantime please make a note in your diaries - and get ready to get involved.

We are also considering running ICT surgeries for London voluntary organisations on the afternoon of Monday 27 September which will (probably) take place at Lasa's offices in London E1. We're keen to involve a number of Riders to provide advice on various aspects of ICT - if you are interested in helping out, we'd love to hear from you.

Hi Richard

I'm no telecoms engineer (far from it!) but it looks like this a fairly specialised (and pricey) bit of equipment that is probably a bit OTT for most ICT support staff in the sector working with small, fairly unsophisticated (systems wise) organisations.

In my experience, the concern for most installations (assuming they are working) is with regard to speed and there are a variety of online tools to check them:

If it's a BTInternet account then http://www.speedtester.bt.com

Virgin Media http://www.virginmedia.com/customers/speedtesters/

Generic tools - http://www.zdnet.co.uk/broadband-speedtest/

http://www.speedtest.bbmax.co.uk/

How reliable they are I'm not sure, I tried it for Lasa's Be ADSL and it gave different results. But then I guess they are fluctuating - the office line should be 24Mbps and varied between 3.5 and 4.5...

I'm not sure this helps uyou too much with a decision on whether to purchase the tester but it might be cheaper to hire it in on the odd occasion that you might need it or get a specialist.

For anyone needing to use ICT in low resource environments there's a good primer here: http://www.inveneo.org/?q=sustainability_primer. Mainly of relevance to organisations that may be operating in less well developed countries with poor infrastructure. But some good general nuggets about sustaining ICT projects in such environments, and some relevance to "green computing" issues and potentially ICT in some of the more remote locations in the UK.

Would be interested to hear more and particularly why saving to server with "sensible names" is not working?

There are a number of options to store documents both internally using some form of intrane (here at Lasa we have used sharepoint to set up an intranet for staff) or using online options, take a look at the knowledgebase article Web Office Tools - http://www.ictknowledgebase.org.uk/virtualoffice

[Software] Document Retrieval Software

We are a small foundation - six staff/PCs. Trying to find a cost effective system for storing docs (various formats plus scanned PDFs) which can be reliably retrieved using small bits of data. Our current practice of saving them to server with a 'sensible' title is not working as records grow.

Some of the commercial options available are expensive to buy, plus hefty monthly fee.

Any leads really appreciated. Thanks. www.walcotfoundation.org.uk

Is backing up a chore that you'd rather not be bothered with and just hope that things don't go wrong - or do you have things under control with daily backups of important files? Or somewhere in between? And if you are backing up, do you know how to recover lost or deleted files? Is there enough advice available for organisations struggling with data management?
